Terms of Service & Privacy Policy

By accessing or using the ZenOS Network website, you agree to these Terms of Service and to any related policies referenced on the site. If you do not agree, do not use the service. We may update these Terms from time to time by posting a revised version on this page. Continued use after changes are posted means you accept the updated Terms.

ZenOS Network is the official web platform for ACI ZENITH. The site provides authenticated access to community and administrative tools, including:

• Discord and Roblox authentication and account linking.
• Member dashboard and account status pages.
• Applications and submission tracking.
• Network notifications and optional Discord direct-message delivery.
• Public information pages, department pages, and network pages.
• Moderation, punishment, lore archive, revision, and audit-log systems.
• Internal admin tools and staff workflows.
• Optional supporter payments processed by PayPal.
• Optional Google Workspace identity verification for managed access.
• Embedded or linked Discord community features where enabled.

You must be old enough to legally use the service in your jurisdiction, and at minimum old enough to create and use the third-party accounts required by the platform. If you use the site on behalf of a group, team, or organization, you confirm that you are authorized to do so.

• The site uses Discord and Roblox authentication. We do not store your Discord or Roblox passwords.
• You are responsible for the security of the Discord and Roblox accounts you link to ZenOS Network.
• Account linking is used to verify identity, group rank, access rights, applications, and moderation context.
• Classified archive viewing requires both Discord and Roblox to be linked to the same ZenOS account. Archive authoring requires an eligible Roblox group rank and is verified again on the server.
• If you provide false or misleading identity information, we may restrict or terminate your access.

You agree not to:

• Attempt unauthorized access to accounts, data, or staff tools.
• Interfere with the site, its API routes, or its security controls.
• Use bots, scraping, or automation without written permission.
• Submit abusive, unlawful, deceptive, or harassing content.
• Impersonate staff, administrators, or other users.
• Exploit bugs or vulnerabilities instead of reporting them through the proper channel.
• Bypass moderation action or evade account restrictions.

Applications submitted through the site may be reviewed, approved, denied, archived, or retained for administrative purposes. We also maintain moderation and punishment records, audit logs, and related internal records to support enforcement, accountability, and staff review. Those records may be visible to authorized personnel and, in some cases, through public lookup pages.

Chat messages, application responses, form submissions, and other content you send through the site may be stored and reviewed for moderation, support, security, and operational purposes. You should not submit information that you do not want retained in platform records.

Mentions and network notifications may identify the sender, recipient, related record, and delivery status. Discord direct-message delivery is optional, and the website notification remains the official copy.

We may suspend, restrict, or terminate access to the site at our discretion if we believe the Terms have been violated, the service is being abused, or action is needed to protect users, staff, or the platform.

The site, its branding, layout, text, graphics, code, and other materials are owned by ZenOS Network or used with permission. You may not copy, redistribute, or create derivative works from site content without permission unless the law allows it.

The site depends on third-party services such as Discord, Roblox, Cloudflare, Neon, and related infrastructure providers. Their own terms and privacy policies also apply. We are not responsible for failures, outages, or policy changes caused by third-party services.

The site is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted availability, error-free operation, or that the service will always meet every expectation.

We collect the following categories of information:

• Account identifiers: Discord and Roblox user IDs, usernames, display names, avatars, and linked-account metadata.
• Auth and session data: Session tokens and authentication state required to keep you signed in.
• Submitted content: Application answers, chat messages, form entries, archive content and revisions, mentions, and related uploads or text you provide.
• Administrative records: Punishments, moderation actions, audit logs, and staff notes created while operating the service.
• Technical data: Browser, device, and request metadata needed for security, rate limiting, and service reliability.
• Payment records: PayPal order, capture, payer, amount, currency, status, and webhook records used to confirm supporter benefits. Payment-card numbers are not collected by ZenOS Network and are handled by PayPal.
• Workspace and delivery data: Verified Google Workspace identity details, access-sync results, notification preferences, and Discord delivery logs where those features are used.

• To authenticate you and maintain your session.
• To verify Roblox ranks, Discord linkage, and access rights.
• To process applications and route them to staff review.
• To power moderation, punishments, records, and appeals.
• To display dashboards, status pages, and internal tools.
• To maintain lore records, author revisions, and access audits.
• To investigate abuse, prevent fraud, and protect the service.
• To send website and optional Discord notifications.
• To verify supporter payments and assign purchased benefits.
• To verify and synchronize eligible Google Workspace access.

ZenOS Network uses a single session cookie namedzen_sessionto keep you signed in. It is configured as HttpOnly, SameSite=Lax, and Secure in production. We do not use advertising cookies or third-party analytics cookies.

Cloudflare may also set its own security cookies or process request metadata for bot detection and traffic protection.

Data is stored in our application database and related infrastructure used to run the service. We use transport encryption, server-side authorization, secure session cookies, access controls, audit logging, request validation, and rate limiting to reduce the risk of unauthorized access or abuse. Access-controlled content is not intentionally sent to unauthorized clients. No security system is perfect, and we cannot guarantee absolute protection.

We do not sell personal data. We may share information with:

• Authorized ZenOS Network and ACI ZENITH staff.
• Service providers required to operate the platform.
• Discord, Roblox, Google, PayPal, or other services involved in authentication, access verification, notifications, or payments.
• Legal authorities if required by law or valid legal process.

We retain data for as long as needed to operate the service, support moderation, meet legal obligations, or preserve administrative history. Some records, such as punishments and audit logs, may be retained longer than ordinary session data because they are part of the site's enforcement history.

Archive revision snapshots, payment verification records, delivery logs, and security audit events may also be retained when needed for recovery, fraud prevention, accountability, or dispute handling.

• You may request access to the personal data we hold about you.
• You may request correction of inaccurate profile data.
• You may request deletion of your account data, subject to any data we must retain for moderation, security, or legal reasons.
• You may disconnect linked accounts through the relevant provider or by contacting staff where supported.

The site is not intended for children under 13. We do not knowingly collect personal information from children under 13. If we learn that such information was provided, we will take reasonable steps to delete it.

We may update this Privacy Policy from time to time. The revised version will be posted on this page with an updated effective date.
